Step 01

Create Your Expert Account

  1. 1 Head to app.mealcircle.co and click Sign Up.
  2. 2 Enter your name, professional email address, and create a secure password.
  3. 3 Select your professional role โ€” Nutritionist, Dietitian, Health Coach, or Other.
  4. 4 Verify your email address via the confirmation link sent to your inbox.
  5. 5 You'll be taken to the onboarding wizard to complete your profile.

Use your professional email address (not a personal Gmail) so your clients can easily identify you.

Step 02

Complete Your Profile

  1. 1 Upload a professional profile photo โ€” clients are 3ร— more likely to trust practitioners with a photo.
  2. 2 Add your qualifications, specialities, and a short bio (shown on your public profile page).
  3. 3 Set your timezone and working hours so clients know your availability.
  4. 4 Optionally add your clinic or practice name if you're part of a team.

Step 03

Invite Your First Client

  1. 1 From your dashboard, click + New Client in the top menu.
  2. 2 Enter the client's name and email address.
  3. 3 Optionally set intake goals, dietary restrictions, and health notes.
  4. 4 Click Send Invite โ€” your client receives a personalised email to join MealCircle.
  5. 5 They'll create a free client account and be linked directly to your profile.

You can add client health notes and onboarding questionnaires before they even log in for the first time.

Step 04

Build Your First Meal Plan

  1. 1 Navigate to Meal Plans in the left sidebar and click Create Plan.
  2. 2 Enter the plan name and assign it to a specific client (or leave it as a template).
  3. 3 Set the plan duration โ€” daily, weekly, or custom date range.
  4. 4 Use the Food Library to search from thousands of foods with auto-calculated macros.
  5. 5 Drag and drop meals into days. The app auto-calculates daily calorie and macro totals.
  6. 6 Click Share with Client to send the plan directly to their app.

Create reusable template plans (e.g. "1800 kcal High-Protein Week") to save time for future clients.

Step 05

Track Client Progress

  1. 1 Go to My Clients and select a client to view their profile.
  2. 2 The Progress tab shows weight entries, measurements, and checkin history at a glance.
  3. 3 Add manual progress notes after calls or consultations.
  4. 4 Clients can log their own check-ins, weight, and food diary from their mobile app.
  5. 5 You'll see colour-coded alerts for clients who haven't checked in recently.
